It preparation for the workshop you’ll be asked to complete a questionnaire. In doing so, you’re establishing your intentions for the workshop and setting the stage for transformation both during and after the workshop.

The workshop is designed to be the catalyst that creates a positive shift in your life. Once the workshop is complete you’ll further your learning and practice by:

  • Establishing a new habit. You’ll practice a productive habit that you identified during the workshop for 40 days straight. This consistency helps ensure that the habit is engrained and gives you practice and experience in the art of habit creation.
  • Taking inspired action towards a goal.  During the workshop you’ll identify one or more actions that will help create a positive shift in a specific area of your life. After the workshop is complete you’ll step into action, leveraging the accountability that you’ve defined during the workshop.

Trello provides a highly visual and interactive way of tracking and managing information and projects and can be used for both solo projects and team collaborations.

Learn the basics of Trello and create boards to track your ideas and goals.

Whether you’re working on personal projects and large team endeavours, it’s important to have a system in place to manage your ideas and track your goals, to help ensure nothing falls through the cracks. Trello is well suited to this task. It’s easy to use, highly visual and has plenty of power under the hood.

During the workshop you’ll learn the basic concepts of features of Trello as you create your own boards, lists and cards. By the end of the workshop you’ll be using Trello for one or more areas of your life and will have clear guidelines to follow as you continue to build and reference your database.

How It Works & What's Included.

Managing Goals and Ideas with Trello includes learning, personal experience and group sharing. The workshop includes the following topics and activities:

  • Learning the Basics of Trello. If you’re brand new to Trello, you’ll learn everything you need to use the basic functionality this solution provides. And if you’ve had some past experience with Trello, this will be a good opportunity to go back to basics and fill in any gaps in your knowledge and to refine your practices.
  • Create & Populate Trello Boards. As you go through the workshop you’ll be creating Trello boards and lists and adding cards corresponding to ideas and goals in one or more area of your life.
  • Learn Best Practices. It’s not uncommon for people to dive into a productivity system with great enthusiasm, only to leave it gathering virtual dust a few weeks later. During the workshop you’ll learn best practices to help ensure that you continue to stay motivated to make good use of Trello.
  • Group Sharing & Questions. As you go through the workshop you’ll be sharing with your group and will have the opportunity to ask questions. If you choose, you can even share your Trello board(s) with the group.

When you register in the workshop you’ll be asked to complete a questionnaire. This will provide the workshop leader with more information on your experience with Trello (if any) and help you set intentions for your participation in the workshop. You’re also encouraged to make a list of ideas and goals that you want to organize into Trello boards so that you have some data to draw from.

If you’re new to Trello, please create a free account before attending the workshop.

This workshop is intended to be the foundation for using Trello on an ongoing basis in one or more areas of your life. Once the workshop is complete you’ll be encouraged to continue to update and review your boards regularly so that they’re an accurate reflection of your life and work.

Develop Your Email Strategy.

Taming your email is spread over two sessions, typically about two weeks apart. During the first session, you’ll learn best practices for managing the deluge of incoming emails, composing effective emails and using email within a team environment. Working with other people in the seminar, you’ll formulate a plan to shift your email habits and to apply best practices.

Armed with a Personal Email Strategy™, you’ll put what you’ve learned into practice in your day-to-day life and work. In the second session, you’ll reconvene with your group to share what worked, and what didn’t work and to fine-tune your personal strategies. The second session also includes additional strategies and techniques for taking your email productivity to the next level.

How It Works & What's Included.

The first session focuses on best practices for managing and composing emails.

You’ll have the opportunity to evaluate your current email practices and, with some help from the group, will formulate your Personal Email Strategy. This is a set of email practices designed to match the needs of your life and work.

The following topics will be covered during the first session:

  • Best practices for dealing with the deluge of incoming email. Every email you receive takes some of your time and attention. You’ll learn about ways to limit the number of emails that land in your inbox so that you can free up some of your time and attention for more productive pursuits.
  • Developing Productive Email Habits. Checking email frequently and at all hours of the day is typically unnecessary and counterproductive. You’ll have the opportunity to evaluate your current email habits and to articulate new ones to create in their place.
  • Writing effective emails. This includes writing emails that are clear and consistent and make good use of the subject line. We’ll also talk about being mindful of who’s going to receive your messages and how you can model effective email practices for your friends, colleagues, and clients.
  • Using email in a team environment. When using email in a team setting, it’s important to establish guidelines on how email will be used by members of the team. This includes things such as expected response times and the formatting of subject lines. We’ll explore some strategies for effective team communications.

You’ll complete session with the first draft of your Personal Email Strategy. You’ll put this strategy to the test in between the two sessions and will have the opportunity to review and tweak your strategy in the second session.

Between Session 1 and Session 2 you’ll have the opportunity put your Personal Email Strategy to the test. This typically includes:

  • Rethinking the Inbox. For example, if you’ve developed a habit around using the inbox as a to-do list (something we don’t recommend), you could start the process of putting a new practice in place, that might include making use of an “Action” folder and a task manager.
  • Refining Your Email Habits. As we discuss in Session 1, email can become addictive. If you’re in the habit of checking email more frequently than you need to, your personal strategy may include starting to reduce this frequency, shifting towards more productive habits.
  • Writing more effective emails. The best practices we cover in Session 1 provide some practical ways to write more effective emails. Your strategy may involve experimenting with different ways of communicating through email.
  • Using email more effectively in your team. If you’re part of a team, you’ll have the opportunity to evaluate the way your team uses email and to come up with some guidelines to use email more effectively. If you work for yourself, you can look at how you could communicate more effectively with collaborators and clients.

After completing Session 1, you’ll put your Personal Email Strategy to the test, applying best practices out in the “real world” and noticing the impact they have on yourself and others.

Session 2 is an opportunity to reconvene as a group and shine the spotlight on what worked, and what still needs work. Drawing upon the insights that surface you’ll refine your Personal Email Strategy and put a plan in place to tame unwieldy inboxes.

You’ll also learn about new technologies you can use to make your email more manageable and effective:

  • Managing the Deluge. Learn how you can use the SaneBox to dramatically reduce the amount of email that ends up in your inbox. We’ll also look at how task managers like OmniFocus and Todoist can be used to manage requests received by email.
  • Email Habits. Building on what was covered in Part 1, we’ll look at ways to cultivate positive new email habits. This could include using RescueTime to keep track of the amount of time you spend on email and to help ensure that your email usage is headed in the right direction.
  • Writing Effective Emails. We’ll look at how TextExpander can be used to increase the efficiency of your email communications and how Grammarly can be used to avoid embarrassing typos. We’ll also explore how Boomerang for Gmail can be used both to schedule emails and to help ensure that a response is received. And we’ll explore scheduling solutions such as Doodle and ScheduleOnce, that can dramatically reduce the number of emails you send and receive.
  • Using Email in a Team Environment. Sometimes email isn’t the best choice for management and communications. We’ll take a look at a popular project management solutions like Asana and Trello that, if used effectively, can greatly reduce the amount of email that needs to be exchanged within teams, while also provide a more convenient and efficient way to manage projects than is possible with email.
  • Email Security. It’s important to put measures in place to help ensure unauthorized access to your email. We’ll briefly look at how 1Password and LastPass can help in this regard.

As you go through this session you’ll identify those technologies that you want to adopt in the short-term and those that you’re planning to investigate further in the near future.

Holistic Productivity for Organizations

Holistic Productivity for Organizations provides participants with new methodologies and practical strategies to achieve optimum levels of productivity in both their personal and professional environments.

Course Overview

The course has two distinct sections. The focus for the first section is on the theoretical practices and the self awareness/management that supports productivity. It includes an overview of David Allen’s Getting Things Done® (GTD®) methodology, a highly effective approach to productivity. With a theoretical foundation in place, the second section delves into applying GTD principles, the effective use of technology and the cultivation of effective new habits.

Logistics

Holistic Productivity for Organizations is offered in two formats: two half days (3.5 hours each day with break) or a one day (8 hours, with morning, afternoon and lunch breaks). It is the responsibility of the host organization to provide the facilities for the course and to print the course manual/workbook for the participants.

The first section of the course offers participants the chance to examine their life and work habits and to identify areas in which they are not as effective as they could be. This includes an examination of areas where participants tend to procrastinate and an opportunity to look at the root cause of this procrastination.

The course emphasizes self management rather than time management. Metaphorically, time is a river in which we experience life. Time, like a river, can’t intrinsically be managed. Instead, the focus is on how best to manage oneself in the context of time. On a practical level this involves examining current practices, learning new approaches and technologies and developing new habits.

The Getting Things Done® methodology, frequently abbreviated as GTD®, was developed by David Allen. GTD is a proactive approach to productivity that involves maintaining a “trusted system” that is reviewed regularly. It provides a much needed strategy for dealing with the barrage of information that we are exposed to in our modern world and is a highly adaptable approach that is practiced all over the world by everyone from artists to engineers.

With the permission of David Allen and the David Allen Company, the course includes an introduction to key GTD principles, including the five things that must be done regularly to maintain control and the six levels of perspective that need to be maintained at both a personal and organizational level. Resources for further study are provided.

Armed with a basic knowledge of GTD principles and practical information gathered through the homework exercise, the second week exposes participants to best practices and technology for implementing GTD. This includes instruction on using solutions such as Microsoft® Outlook® or OmniFocus to implement GTD. The course also includes an overview of “best of class” technologies that have been shown to be highly effective in the implementation of GTD.

The technologies featured in the course can be customized to suit the needs of the organization and course participants.

Armed with a basic knowledge of GTD principles and practical information gathered through the homework exercise, the second week exposes participants to best practices and technology for implementing GTD. This includes instruction on using solutions such as Microsoft® Outlook® or OmniFocus to implement GTD. The technological advances over the past couple of decades came with a promise of making life and business more productive. Ironically many have come to see technology as a source of stress. This section offers practical strategies for managing the high volumes of information, most notably e-mail, that are a common source of stress and overwhelm to those working in a corporate environment.

This course is designed to have a lasting impact, giving the participants tools and strategies to be highly productive in their work environment while engaged in a healthy and balanced lifestyle.

At the end of the course, participants begin a 90-day process to practice what they’ve learned as they create positive shifts in one or more areas of their lives. To help support this transformation, participants are encouraged to work with a partner from the course and to check in regularly (typically once a week) over the course of the 90-day process.

Participants in the course will learn:

  • How to get to the root of inefficiencies and procrastination.
  • The basics principles and terminology of the David Allen Company's highly acclaimed Getting Things Done® (GTD®) approach to productivity.
  • Best practices for implementing GTD® using Mac®/Windows® and mobile technologies. The specific technologies that are included in the course is determine based on the technologies your organization and employees have adopted.
  • Practical strategies for using technology effectively, with a strong focus on e-mail management.
  • Techniques for implementing positive new habits in their professional and personal life.
  • The course is designed to have a lasting impact. During the 90 days that follow the course, a structure is introduced to give participants the opportunity to practice what they’ve learned while positively impacting one or more distinct areas of their life.

Course Overview:

Seven Sessions, 12+ Hours of Interaction

This video-conferenced online course is spread across seven sessions and includes over twelve hours of live interactions. The first four 2-hour sessions are one week apart, with each week having a unique theme and emphasis. A 90-day process, which begins with Session 4, supports you in practicing what you’ve learned as you create a positive shift in a specific area of your life.

There are three 90 minute sessions approximately 30 days, 60 days and 90 days into the process to support and celebrate your learning. You’ll also be able be able to connect with your group between sessions using a private Slack channel and will have the opportunity to work with a partner from the course as you go through the 90-day process.

A common trend in our modern times is to spend a lot of time engaged in doing without taking a significant amount of time to reflect on  life and what’s most important. After having the chance to meet each other, we’ll engage in some practical exercises for pressing the “pause” button on your life in order to gain clarity. We’ll look at the first two pillars of the Holistic Productivity approach, and will explore some Mac and iOS apps that encourage inner reflection and the fostering of new habits.

Owning a calculator doesn’t make you a mathematician. We have a wealth of technology at our disposal and in order to use it in a productive way it helps immensely to develop new habits and structures around this technology is used. During this session we’ll go back to basics and will look at some best practices for living a productive life. Part of this process involves understanding what works best for you and shining a spotlight on some of your less productive habits. You’ll also learn how to use your Mac and iOS device to create mind maps that help bring and maintain clarity.

This session builds on the learning and insights from Session 2 and creates a foundation for making effective use of OmniFocus, Evernote and Calendar. We’ll go through the process of creating structure in OmniFocus and will look at how Evernote, Calendar and Reminders can be used as a complement to OmniFocus.

This session marks the beginning of the 90-day process. Building on material covered in Session 3, you’ll learn to fine-tune your use of OmniFocus, Evernote and Calendar and will have the opportunity to share the area of life that you’ll be focusing on during the 90-day process and to experience the underlying motivation in a way that naturally leads to inspired action.

To quote Robby Burns, “The best laid schemes o’ mice an’ men / Gang aft agley” . Despite our best intentions sometimes even the most inspired plans fall prey to old habits and the busyness of life. With the support of your leader and your Productivity Pod, this session is an opportunity to acknowledge the progress that you’ve made so far, to identify where you’re feeling stuck and to recalibrate in support of your goals.

We’ll also meet as a group about two thirds of the way into the progress. This session helps keep the 90-day process alive and kicking, even as old patterns creep in, and provides an opportunity to clarify goals and strategies as we enter into the final stretch of the 90-day process.

We’ll also be reconvening at the finish line where you’ll have the opportunity to share your progress with the group and, perhaps most importantly, capture the learning that can be applied moving forward.

Online Learning and the Productivity Pod™

Through the magic of video conferencing, all participants are be able to see and interact with both the group leader and each other—asking questions and sharing their learning, failures and successes throughout the course.

To keep the course interactive and personal, enrolment in each course is limited to ten participants, collectively called a Productivity Pod™. Through the magic of video conferencing, all participants will be able to see and interact with the group leader and each other — asking questions and sharing their learning, failures and successes throughout the course as part of creating an engaging and interactive learning environment.

Participants will also be encouraged to support each other between sessions with partner work being a focal point for the 90-day process. By offering courses online and dispensing with logistics such as travel and space bookings, it’s feasible to spread out a course over weeks or even months, allowing participants to more fully integrate what they’re learning into their day-to-day life.

With geographical limitations out of the way this is also an exciting opportunity to bring together people who might otherwise never have met, providing a rich blend of cultures, experiences and skills.
